The Academy of Family Physicians of Malaysia (AFPM) is pleased to announce that its Convocation will be held on 11 May 2025, at the Medical Academies Malaysia Building, Presint 8, Putrajaya. We are honored to have the Royal Patron of AFPM, DYMM Yang di-Pertuan Besar Negeri Sembilan, Tuanku Muhriz Ibni Almarhum Tuanku Munawir, gracing this prestigious occasion.

Graduates must confirm their attendance for the upcoming convocation ceremony by completing the Google Form Registration via the REGISTRATION & PAYMENT button below. This step is essential to initiating the registration and payment process.. 

REMINDER: Failure to confirm and complete the registration by APRIL 11, 2025 (FRIDAY) will result in ineligibility to participate in the convocation event.

Please ensure timely registration to secure your attendance.

To facilitate the seamless execution of this ceremony, we kindly request your cooperation in uploading a passport-sized personal photograph. Please note that confirmation of attendance for the convocation will cease on APRIL 11, 2025 (FRIDAY).

Please ensure the filename includes your full name with the programme award. Example: AHMAD_ABU_GCFM or AHMAD_ABU_FRACGP.

  Convocation Attire  
 

  • All Graduates are requested to observe the following Dress Code for the Convocation ceremony: Graduates are advised to be properly attired as befits the occasion.

  • Please observe the following dress code:
     

  • Dark - coloured lounge suit with a matching tie for men.

  • Decent attire for official functions for ladies.

  • Dark - coloured shoes to harmonise with the academic dress.
     

  • Please note that corsages should not be worn on the academic dress. Graduates who do not comply with the above dress code may not be allowed to enter the Convocation Hall.

  • Graduates not wearing the complete academic attire will not be allowed to participate in the Convocation.

  • All Guests are expected to be suitably attired, preferably in batik/lounge suit/national wear for gentlemen, whereas ladies also have to be properly attired for the occasion. Those who are not properly attired may not be allowed to enter the Convocation Hall.

 GRADUAND WILL BE BARRED INTO THE CONVOCATION HALL IF THEY FAIL TO FOLLOW THE DRESS CODE AND PROTOCOL. 

  Ceremony Proper  

During the ceremony, please observe the following:

  • Remain seated and observe silence at all times.

  • Handphones are to be switched off or set in silent mode at all times.

  • Professional photographers have been engaged to take your photographs on stage during the Convocation Ceremony.

  • Graduates not wearing the complete academic attire will not be allowed to participate in the Convocation.

  • Your guests (to be confirmed if guests are allowed) may take shots with their cameras or video cameras from their seats only.

Please follow all instructions given by the procession by Master of Ceremonies (MC).

  During the Ceremony  

Proper decorum must be maintained throughout the Convocation Ceremony. Please be reminded that Graduates are not allowed to leave the hall while the ceremony is on. When the announcement of Academic Processions is made, Graduates are required to stand until the party in the Academic Processions is seated. The same applies when the Processions leave the Hall. 

  Conduct While Receiving The Awards/Certificate  

You will be briefed on the process before the commencement of the Graduates Procession for each session. Please follow the instructions of the Master of Ceremonies (MC).

  STANDARD OPERATING PROCEDURE (SOP) FOR CONVOCATION CEREMONY  

1. Introduction
The Academy of Family Physicians of Malaysia (AFPM) has established this Standard Operating Procedure (SOP) to ensure a smooth and dignified Convocation Ceremony. All graduates and attendees are required to adhere to the protocol outlined below.

2. General Guidelines

  • All graduates must arrive at the venue by 07:30 AM (Session 1) and 09:30 AM (Session 2) for registration. 

  • The Convocation Ceremony will commence promptly as scheduled. Latecomers may not be allowed to enter the hall.

  • Only registered guests will be allowed entry.

  • Children below the age of 7 years are not permitted inside the hall.

  • Mobile phones must be switched to silent mode throughout the event.

  • The AFPM reserves the right to remove any graduate or guest found interrupting the proceedings.

​3. Registration & Attire

  • Registration Desk: Upon arrival, graduates must check in at the designated Registration Counter.

  • Convocation Attire: All graduates must wear the approved academic regalia (gown, hood, and mortarboard/cap) provided by AFPM.•

  • Graduates must return the academic regalia at the designated counter after the ceremony. Late returns may result in penalty fees.

 

4. Ceremony Proceedings

  • Seating Arrangement: 

o    Graduates must be seated in the allocated sections as per their program.
o    Guests must be seated at the designated guest area.

  • Procession & Awarding of Certificates: 

o    The event will commence with the processional march, followed by speeches and awarding of certificates.
o    Graduates will be called in order and must follow the stage etiquette as instructed.

  • Photography & Live Streaming: 

o    Official photographers will be present to capture moments during the ceremony.
o    The event will be livestreamed for family members who are unable to attend. AFPM will provide the streaming link.

  • Photo Sessions: Graduates may take personal photos only after the convocation session has ended.

5. Refund Policy
AFPM has a strict refund policy for convocation-related fees:

  • 50% refund for graduates who cannot attend due to hospital admission, infectious diseases, or family emergencies (valid documentation required).

  • Photography cost of RM100.00 will be refunded in the case of last-minute cancellations.

  • No refunds will be given for absences without prior notice.


6. Updates & Communication

  • Graduates are advised to check the AFPM website and emails regularly for any updates regarding the ceremony.

  • Any critical changes will be communicated via Email.

​​To ease congestion on Convocation Day, it is COMPULSORY that graduates collect their robes. If graduates fail to collect their Convocation attire on May 10, 2025 (Saturday) without any valid reason, they may not be allowed to partake in the Convocation Ceremony on May 11, 2025 (Sunday).
